HelpDashboard

Dashboard

Your central hub for managing all events and catalogs.

Dashboard overview

The Dashboard has two tabs: Events (your events) and Catalogs. Events are shown as cards sorted by creation date. The dashboard loads more events as you scroll — click Load more at the bottom to fetch additional pages.

The New Event button in the top-right corner opens the event creation flow.

ℹ️
Note

The dashboard refreshes automatically when you switch back to its tab, so changes made in workspace tabs (new items, published status) are reflected without a manual reload.

Event cards

Each event card shows:

  • Title — click to open the guest-facing view of the event's program
  • Event code — the unique identifier used in share links
  • Status badge — Published or Draft
  • QR icon — appears next to the status badge on all plans; click it to display the event's QR code
  • Created date and Event date (if set)
  • Transfer status (if the event has been sent or received)

Clicking anywhere on a card (except a button) opens the event's guest-facing page. Action buttons are shown directly on each card. The available actions depend on the event's current status and your plan.

Card actions explained

Publish / Unpublish

Publish makes the event visible to guests. Unpublish returns it to draft state — existing share links will show "not found" until it is republished.

Workspace

Opens the event workspace. Use the tab bar at the top to switch between Program, Design, Invitations, and Manage.

Go Live

Opens the Live Control panel in a new tab. The pulsing dot indicates the event is currently live.

QR Code

Click the QR icon next to the status badge to display the event's QR code. Guests can scan it to open the event on their device. The QR code links directly to the event's share URL.

Transfer Standard+

Permanently transfer the event to another Programleaf user. Enter their username or email — they will see it in their Incoming Transfers section and can accept or decline. Once accepted, ownership transfers permanently and cannot be reversed.

  • Cancel Transfer — appears on the card while a transfer is pending (before the recipient accepts). Withdraws the transfer request.

Publishing and unpublishing

  1. Find the event card on the Dashboard.
  2. Click Publish (for drafts) or Unpublish (for published events) in the card actions.
  3. A confirmation panel appears inline on the card. Click Confirm.
  4. The status badge updates immediately.

Duplicate and Merge Standard+

🔒
Plan requirement

Duplicate and Merge are available on the Standard plan.

Duplicate

Creates an exact copy of an event as a new draft. The duplicate includes all program items and design settings. It counts toward your monthly event limit.

  1. Click Duplicate in the card actions.
  2. A confirmation panel opens on the card. Click Duplicate to confirm.
  3. The new event appears at the top of your list with the title Copy of [original title].

Merge

Combines the program items from two events into a new draft event. The original events are not modified — a new merged event is created.

  1. Click Merge on the card you want to use as the base.
  2. An inline panel opens. Select a second event from the dropdown.
  3. Click Merge. A new draft is created containing all items from both events, titled [Base title] (Merged).
ℹ️
Note

If the combined item count would exceed your plan's per-event limit, the merge is blocked. Reduce the item count in one of the events first.

Transferring an event to another user

🔒
Plan requirement

Event transfer is available on the Standard plan.

⚠️
Important

Transfers are permanent. Once the recipient accepts, ownership changes and cannot be reversed.

  1. Click Transfer in the card actions.
  2. An inline panel opens on the card. Enter the username or email of the recipient.
  3. Click Transfer to confirm. The event card shows a Pending → [username] badge.
  4. The recipient must accept the transfer from their Dashboard.
  5. Once accepted, the event moves to the recipient's account permanently.

Cancel a pending transfer

You can cancel a transfer at any time before the recipient accepts it.

  1. Find the event card with the Pending → [username] badge.
  2. Click Cancel on the card. A confirmation panel opens.
  3. Click Cancel Transfer to confirm. The transfer is revoked and the event stays in your account.

Accepting incoming transfers

When another user sends you an event, it appears in the Incoming Transfers section at the top of your Events tab.

  1. Review the event title and sending user shown on the transfer card.
  2. Click Accept to take ownership. The event is added permanently to your events list.
  3. Click Decline if you don't want it. The transfer is cancelled and the event returns to the sender.

Collaborations section

If another Programleaf user has added you as a collaborator on one of their events, a Collaborations section appears at the top of your Events tab — above your own events.

Each collaboration card shows the event title, a purple role badge (e.g. editor, registrar), and action buttons that match exactly what your role permits:

  • Co-host — Go Live button
  • Editor — Edit button
  • Designer — Design button
  • Manager — Edit and Design buttons
  • Planner — Planner button
  • Registrar — Registry button
  • Protocol, MC, Vendor — Team button (tasks & messages only)
  • Helpdesk — Helpdesk and Team buttons

For more on managing collaborators and role permissions, see Sharing & Collaboration.

Catalogs tab

The Catalogs tab shows all catalogs you've created. Catalogs are collections of programs that can be shared as a single browsable page.

Click + New Catalog to create one, or see the full guide at Catalogs.

🔒
Plan requirement

Catalogs are available on the Standard plan (unlimited). The Catalogs tab is hidden on the Free plan.
