Invitations

Send personalized email invitations, import guest lists, and track responses.

Opening the invitations page

  1. From the Dashboard, find the program card and click Invitations in the card actions.
  2. The invitations page opens (within the Dashboard layout — not a new tab).
  3. The page has two sections: Compose (top) and Sent Invitations (bottom).

Adding recipients

Add one at a time

  1. In the Recipients area, click + Add Recipient.
  2. Enter the guest's email address (required) and name (optional, used for personalized greetings).
  3. Repeat for each additional guest.
  4. To remove a recipient, click the ✕ button next to their row.

Tip

Adding a guest's name enables personalization in the message — e.g., "Dear Sarah," if your message template includes the name field.

Importing from a CSV file

For large guest lists, import recipients from a CSV file instead of adding them one by one.

  1. Click Import from file in the recipients area.
  2. Prepare your CSV file. Two formats are supported:
  3. Select the CSV file. Maximum: 2,000 rows, 512 KB file size.
  4. Recipients are parsed and added to the list. Review for any parsing errors shown in red.
  5. Remove invalid entries before sending.

Important

Duplicate email addresses are detected and deduplicated automatically. Only one invitation per email address is sent per program.

Composing your message

  1. Enter a Subject line for the email (required).
  2. Write the Message body in the text area (required).
  3. The message is sent as plain text. Each guest receives a personalized copy with their name and a unique access link.
  4. Click Save at any time to save the draft without sending.

Note

Every invitation email automatically includes the guest's unique access link to the program. You do not need to manually include a link — it is appended to every message.

AI draft Event+

Let AI write the subject and message body based on your event details.

  1. Click the AI Assist button in the compose section.
  2. Fill in:
    • Event title — used as the basis for the draft
    • Tone — Formal, Semi-formal, or Casual
    • Custom notes — any specific details to include (e.g., dress code, RSVP deadline)
  3. Click Generate draft. The subject and message fields are filled with the AI output.
  4. Review and edit the draft as needed before sending.

Tip

AI drafts are a starting point. Always review for tone, accuracy, and any personal details that need to be customized.

Presets

Save frequently used subject and message combinations as presets so you don't have to retype them for each new program.

Save a preset

  1. Compose your subject and message.
  2. Click Save as preset.
  3. Enter a preset name and confirm. The preset is saved to your account.

Load a preset

  1. Click Load preset. A dropdown shows your saved presets.
  2. Click a preset name to fill the subject and message fields.
  3. Edit as needed before sending.

Delete a preset

  1. Click Load preset to open the preset list.
  2. Click the 🗑 delete icon next to the preset you want to remove.
  3. Confirm deletion. The preset is removed permanently.

Note

You can save up to 10 presets per account.

Sending invitations

  1. Confirm your recipient list and message are ready.
  2. The toolbar shows your remaining invitation quota (e.g., "87 / 150 remaining").
  3. Click Send invitations. The button shows the number of recipients who will receive emails.
  4. All recipients are submitted in a single request. A spinner is shown while the send is in progress.
  5. Sending is asynchronous — invitations are queued and delivered in the background by the server. You'll see all entries appear in the Sent Invitations list with a "Queued" status immediately after the request completes.
  6. Status updates to Sent as emails are delivered, or Failed if delivery could not be completed.

Important

Once sent, invitations cannot be unsent. Review your recipient list and message carefully before clicking Send.

Note

Keep the page open until the spinner disappears. If you try to navigate away while a send is in progress, your browser will show a confirmation prompt.

Over-quota sending

If you exceed your plan's invitation quota, a top-up option appears via Paddle (payment provider). You can purchase additional invitation credits for pay-as-you-go sending.

Tracking responses

The Sent Invitations section shows all invitations sent for the current program. Each row shows:

  • Guest name and email
  • Delivery status: Queued → Sent → Failed
  • RSVP status: Pending, Accepted, or Declined
  • Decline message: if the guest declined and included a note
  • Sent date

Note

Guests do not need an account to respond. They click Accept or Decline directly from the invitation email.

Resending and managing

Resend an invitation

  1. Find the invitation in the Sent Invitations list.
  2. Click Resend on that row. A fresh copy of the invitation is queued for delivery.
  3. This uses one invitation quota credit.

Copy the guest's access link

  1. Find the accepted invitation in the list.
  2. Click Copy link to copy the guest's unique program link to your clipboard.
  3. Share it via another channel if needed (e.g., WhatsApp, SMS).

Delete an invitation record

  1. Click Delete on an invitation row to remove it from your records.
  2. This does not invalidate the guest's access link if they already accepted.

Note

For Event and Grand Event plans, the quota applies per program — each program has its own allowance. For Multi-Day Event, Pro, and Business plans, the quota is a shared pool across all your programs. Invitations sent to any program count toward the same total.
